Refund & Cancellation Policy

1. Scope
This policy applies to all fees invoiced by Flowbit Private Limited (“Velta”, “we”, “us”) to business clients for trial placements, monthly retainers, and one-off staffing engagements. Because every engagement is quote-based and governed by a signed statement of work (SOW), the specific refund terms in your SOW take precedence over this general policy where they differ.
2. Trial engagements
For one-week trial engagements:
- Replacement guarantee: if the candidate does not meet the agreed brief within the first five business days, we will replace the candidate at no additional cost.
- Full refund: if we are unable to provide a suitable replacement within ten (10) business days of your written notice, the trial fee is refunded in full.
- Trial fees become non-refundable once the trial week is completed and the candidate has delivered the agreed work.
3. Monthly retainers
- Notice period:either party may cancel an ongoing retainer with thirty (30) days’ written notice. Fees for the notice period remain payable.
- Pro-rata refunds: where a retainer is paid in advance and cancelled mid-period, unused days are refunded on a pro-rata basis, net of any placement fees already earned.
- Replacement: if a placed candidate is unable to continue within the first 30 days of a placement, we will shortlist a replacement at no additional placement fee.
4. Non-refundable items
The following are not eligible for refund:
- Work already performed by a candidate and accepted by the client.
- Taxes (including GST) that have been remitted to the authorities.
- Third-party costs incurred on your behalf and disclosed in advance (e.g. background-check fees, platform licences).
- Bank charges, currency-conversion costs, and payment-gateway fees.
5. How to request a refund
Send a written request to connect@veltaconsulting.com with:
- The invoice number and date of payment
- The reason for the refund request
- Your bank details (for refunds outside the original payment method)
We acknowledge every refund request within two business days and share a decision within seven business days.
6. Refund timeline
Once approved, refunds are processed within seven to ten business days to the original payment method. Card and UPI refunds typically reflect within an additional three to five business days, depending on your issuer. Bank-transfer refunds are usually credited within two to three business days.
7. Chargebacks
Please contact us before initiating a chargeback with your bank or card issuer. We are able to resolve most disputes directly and faster than a chargeback process.
8. Governing law & disputes
This policy is governed by the laws of India. Any dispute arising out of or in connection with this policy is subject to the exclusive jurisdiction of the courts at Aurangabad (Chhatrapati Sambhajinagar), Maharashtra, India, without prejudice to the arbitration clause in the applicable SOW, if any.
